How do payment and pricing work?

Every rental gets an itemized quote listing the unit, delivery and pickup, any zone fee, servicing, any $50 rush fee and sales tax. Event and one-week rentals are paid in full when you book. Long-term rentals are charged at the start of each 28-day cycle. Nothing is added unless you add it.

Accepted payment

  • Visa, Mastercard, American Express and Discover
  • Pay by phone with the dispatcher, or through a secure pay link sent by text or email
  • Drivers do not collect payment at delivery

Tax-exempt and business accounts

  • Tax-exempt organizations send their exemption certificate before payment, and sales tax is removed
  • Approved contractors can be invoiced monthly
  • A company name, job name or PO number can be added to any invoice

Starting prices and what each one includes are listed in the porta potty rental cost guide.

How does the 28-day billing cycle work?

Long-term rentals bill every 28 days, not by calendar month. Each cycle includes weekly service. The rental renews on its own until you call or text for pickup. The first 28-day cycle is the minimum, and after that, billing stops on the day you request pickup, so you never pay for an unused cycle.

What renews

  • The unit rental and weekly service renew at the cycle rate
  • Delivery and pickup are a one-time charge and are not billed again on renewal
  • Extra service visits are billed only when you request them ($45 each in Zones 1–2)

Event and one-week rentals

Event rentals (1–3 days) and one-week rentals are flat rates for the whole period, not per day. A weekend event delivered Friday and picked up Monday is one flat rate. Read more about monthly porta potty rental.

What is the cancellation policy?

Cancellation is free until 3 p.m. the business day before delivery, with a full refund. After 3 p.m. that day, a $50 trip charge applies and the rest is refunded. For a Monday delivery, the deadline is 3 p.m. Saturday, since the office is closed Sunday. Cancel by phone or text.

Changes to an order

  • Changes to the date, location or units are free before the same 3 p.m. deadline, when a truck and unit are open
  • Add-ons such as a hand wash station or padlock hasp can be added any time before delivery
  • Every change shows up as an updated line on your quote before you pay

Trip charge

The $50 trip charge also applies when a driver arrives and can't place the unit because the site is locked, blocked or unsafe and no one can be reached. Share gate codes and access details ahead of time to avoid it.

How do pickups and extensions work?

Event rentals are picked up on the date set at booking, usually Monday after a weekend event. Long-term rentals stay until you call or text (937) 230-2836 for pickup, and pickup usually happens within 1–2 business days. To keep an event unit longer, call before the scheduled pickup day.

  • Pickup requests: call or text with the site address and the number of units
  • Billing stop: on long-term rentals, billing ends the day you request pickup (after the first cycle)
  • Extensions: the dispatcher quotes extra days before anything changes on your bill
  • Sundays: no pickups or deliveries

What are you responsible for at the site?

The renter provides firm, level ground within about 15 feet of truck access or along a path a dolly can roll, with 48 inches of clear width for a standard unit. Keep the path open on delivery, service and pickup days, and use the unit only for human waste, never chemicals or trash.

Access

  • Mark the spot and tell dispatch about gate codes, locked gates, low wires and soft ground
  • Keep cars, equipment and materials clear of the unit on service and pickup days
  • Contractors arrange gate access and badging at secured sites, including Wright-Patterson AFB

Use

  • Do not put hazardous waste, paint, oil, chemicals, concrete washout, needles or trash in the tank
  • Do not move the unit; call dispatch if it needs to be relocated
  • Get any needed permit for street, sidewalk or park placement, and follow HOA rules

Placement tips are in the porta potty placement guide.

What happens if a unit is damaged, tipped over or stolen?

Normal wear is covered by the rental price. A tipped-over unit that needs cleanup is billed $95. Damage beyond normal wear, such as fire, cracked walls or graffiti, is billed at repair cost. A unit that is lost or stolen while on your site is billed at replacement cost.

SituationCharge
Normal wear and tearNo charge
Tip-over cleanup (wind, vandalism or accident)$95
Damage beyond normal wear (fire, cracks, graffiti, broken parts)Repair cost
Unit lost or stolen from your siteReplacement cost
Hazardous waste found in the tankCost of proper disposal

Report damage or a tip-over by phone or text as soon as you see it. A free padlock hasp and a spot away from the street help prevent vandalism on job sites and public spots.

What about weather delays and service schedule changes?

Ice, flooding and severe storms can delay a delivery, service or pickup. When that happens, dispatch calls or texts with a new time, and there is no charge for a delay caused by weather. Weekly service days can shift by a day around holidays or bad weather; you get a text when they do.

  • Event deliveries get priority on the next safe trip
  • From November through March, antifreeze brine is added at every service at no extra charge
  • If a service visit is missed because the site was locked, text dispatch to reschedule it

Who is responsible for property under the unit?

Units are placed where the renter directs. Colin Rental Works is not responsible for damage to pavers, landscaping, lawns, driveways or buried lines at a spot the renter chose. Point out sprinkler heads, septic lids, buried cables and soft ground before delivery, and the crew will work around them.

Heavy units and restroom trailers can leave marks on soft lawns, especially after rain. A firm, level spot such as a driveway edge or gravel pad avoids most problems. If you are unsure, text a photo of the spot and dispatch will tell you whether it works.
